Passive User | Member | Service User

Falcon distinguishes between two types of users: Members and Passive Users.

  • Member: Paid user with full access.

  • Passive User: Free, inactive user without access.


Member

  • A user automatically becomes a Member as soon as they are invited to Falcon for the first time.

  • This setting cannot be changed afterwards.

  • Members count toward the license and – as long as they remain active – can log in to the system and work according to their assigned permissions.

  • Members can be turned to inactive users, but this does not make the passive. The remaim members.


Passive User

  • Passive Users are users who have not been invited as Members.

  • They are visible in the system (e.g., for assigning responsibilities) but have no active access.

  • This way, people who do not actively work in Falcon can still be considered, for example, if their role or responsibility in the project needs to be documented.


How a Passive User is created

  • When adding a new user, the invitation can be skipped β†’ the user will then be created as a Passive User.

  • Only with an invitation does a user become a Member.


Changing from Passive User to Member

  • A Passive User can be converted into a Member at any time by sending an invitation.

  • Important: Once a user has become active (Member), this status is permanent. They cannot revert to Passive User status.


Special case: IT Admin / Service User

  • If a Passive User is assigned the IT Admin/Service User right, they will automatically receive an invitation.

  • Despite this invitation, the user will still remain a Passive User unless explicitly invited as a Member.

  • Service Users cannot perform activities or view content in Falcon. They only have access to security settings and user management.

  • Service Users are not visible in the system (e.g., when assigning responsibilities).
